Description:

Departmental Assistant support to the Legal Director and legal and governance department. Previous experience in a similar PA/Team Assistant role within a global company is required for this role.

The Legal and Governance Department is responsible for advising on legal matters arising in relation to its UK business, it also manages company secretariat, export control and internal audit and compliance. The departmental assistant will have a busy and interesting job, assisting the in-house legal team, company secretary and export control team. There is room for the position to expand and develop according to the skills and interests of the successful candidate.


Roles and responsibilities

  • Acting as a first point of contact: dealing with correspondence, complaints, queries and phone calls, and handling them appropriately;
  • Dealing with incoming email, faxes and post, often corresponding on behalf of the manager and team;
  • Meeting and greeting visitors at all levels of seniority;
  • Booking and arranging travel, visa, catering, transport and accommodation;
  • Collating and filing expenses;
  • Managing and co-ordinating payment of invoices;
  • Liaising with staff, suppliers and clients;
  • Miscellaneous tasks to support manager and team, which will vary according to the manager's requests;
  • Managing diaries and organising meetings and appointments, often controlling access to the manager/executive;
  • Managing databases and filing systems;
  • Reminding the manager/executive of important tasks and deadlines;
  • Typing, compiling and preparing reports, presentations and correspondence;
  • Using a range of software packages;
  • On-call duty if necessary
  • Supporting the company secretary team with coordinating of board etc. meetings for project companies, preparation of minutes;
  • Supporting the export control team with co-ordinating meetings, and preparing minutes

Essential experience required:

  • A minimum of 2 year's working experience;
  • Proficiency in MS Office (Excel, Word, PowerPoint) is essential. Skills in MS SharePoint and Project desirable.


Desirable:

  • Knowledge of SAP software
  • Chinese language skills
  • Interest in taking on more skilled tasks as develop in role e.g. assisting with drafting internal policies, expanding skills in areas within mandate of legal and governance department e.g. export control, company secretariat, project management
